Get the provider’s required fields before packing
Ask which name or identifier must appear on each container, which dates and times they need, what containers they accept and how they record receipt. Keep their instructions and the date checked beside your notes. Do not assume a label used by another center is accepted here.
CDC’s early-care-and-education guide says state and local rules can differ and recommends sharing storage and labeling policies with staff and families. It distinguishes labels for prepared bottles from frozen milk. Use the relevant current rules and provider instructions rather than treating one generic label as universal.
Your handoff record should preserve the original expression date and known thawing/warming history as well as any provider-required date. Arrival at childcare does not restart those histories. If a handling fact is unknown, make that uncertainty visible to the recipient and resolve it under the applicable guidance.
Worked handoff: count the containers and retain the history
Fictional example, not a recommended feeding amount: the agreed handoff lists three containers, A01 with 80 mL, A02 with 90 mL and A03 with 70 mL. The arithmetic total is 240 mL. The receiver finds only A01 and A02, so the recorded received amount is 170 mL and the missing listed container is A03, 70 mL. Do not enter the planned total as received.
| Container | Listed amount | Received? | Record next |
|---|---|---|---|
| A01 | 80 mL | Yes | Preserve dates and handling record |
| A02 | 90 mL | Yes | Preserve dates and handling record |
| A03 | 70 mL | Not present | Resolve missing container |
| Total | 240 mL listed | 170 mL received | 70 mL difference; not a feeding target |
Use the same unit throughout a sum. A number without its unit is incomplete. If a label differs from the worksheet, do not silently change both until they match: identify the physical container and resolve the discrepancy with the responsible person.
Record the receiver and receipt time using your provider’s accepted process. The worksheet is not the provider’s official record unless they accept it. Keep actual child names and contact details private; the downloadable example contains no real family data.
Separate receipt, feeding and return
Receipt means the provider took the listed container; it does not mean the child drank it. Later, reconcile feeding information and returned containers using the provider’s record. Distinguish offered, consumed, remaining and discarded amounts rather than deriving one from a vague “used” note.
CDC recommends a daily feeding record and communication about unused milk returned home, including whether it was thawed at childcare. Ask for the relevant handling history; do not decide from appearance, smell or a new arrival timestamp. This guide deliberately supplies no individualized feeding amount or replacement storage deadline.
For missing dates, an uncertain temperature history or conflicting instructions, ask the provider to resolve the issue using applicable guidance. For feeding, growth or supply concerns, consult an appropriate clinician or lactation professional. A complete-looking spreadsheet is not a safety assessment.
MilkVault supports your log, not provider acceptance
MilkVault’s current listing includes pump output, expression-date/location batches, bottle logs, stash updates and Premium CSV export of sessions, batches and feeding records. No online account is required. Its dates and estimates do not determine milk safety.
We publish MilkVault. This separate handoff CSV does not promise a built-in childcare receipt workflow, label printer, shared staff account or import into the app. Keep the physical label, provider record and personal log consistent without assuming automatic synchronization.
Use the freezer-stash parent to find the original batch record. This guide’s distinct task is the transfer between people: what was planned, what arrived and what remained unresolved.
If the method fits your task, explore MilkVault’s listed features on an iPhone. Check current features and plans before downloading.

Use the CSV in Numbers, Excel or a spreadsheet editor. Three fictional quantity rows and a blank row; no feeding amount, storage deadline or safety decision. Replace them with your own observations. The CSV is separate from the app and no email is required.
Questions answered
Is 240 mL a suggested daily amount?
No. It is only arithmetic for the fictional containers; follow individualized feeding guidance.
Can arrival reset a storage deadline?
No. Preserve the original relevant handling history and use applicable guidance.
Does a CSV replace the center’s form?
Only if the provider explicitly accepts it. Ask for their required process first.
