Pack a craft project kit without losing track of shared supplies

By Smart Automation SRL7 min read

Start with a project’s actual materials list, match it to verified stock and check what is physically in the kit. Packing moves an item; consuming it changes the remaining stock. A supply promised to two simultaneous kits is still only one physical supply.

We publish Craft Inventory: CraftCue. This guide provides a usable method without the app. Product features and limits were checked against the current US App Store listing on October 30, 2026. Examples are illustrative.

Match the materials list to the actual item

Write the project name, pattern or instructions, intended size and the materials you have confirmed. Keep quantity and unit together: buttons in pieces, fabric in a stated length or area, yarn in the unit you actually measured. A photograph of a full-looking bag is not a measured quantity. For the wider stock record, use the craft inventory template.

Craft Yarn Council’s guidance for submitted knitting/crochet designs asks for yarn amounts, tool sizes and a complete materials list. That is a useful primary example of specifying materials; its publication-submission rules are not universal requirements for every hobby kit. Follow your own project instructions and retain identifying labels when they matter.

Before reserving something in your plan, find it and check its identity and usable condition. A similar color, unlabeled remnant or missing tool needs a verification note. Do not call an unknown match a confirmed supply just to finish packing.

Two kits, eighteen buttons and one shared hook

This original fictional example has two kits being prepared for use at the same time. Kit A needs 12 matching buttons; Kit B needs 10. You own 18 verified matching buttons. You also own one specific hook H1, and each kit’s instructions call for that same tool. These are illustrative project requirements, not a pattern recommendation.

Buttons / A12 pieces12 piecesNo button gap in A
Buttons / B10 pieces6 pieces4 pieces short
Hook H1 / A1 tool1 toolTool is physically in A
Hook H1 / B1 tool0 toolsCannot count the same hook in both simultaneous kits

Button demand is 12 + 10 = 22 pieces, versus 18 owned, leaving a four-piece shortage. Packed buttons are 12 + 6 = 18. The checklist must not show 22 packed simply because both project plans contain a reservation. For the hook, choose an explicit solution: use the kits at different times with a handover, verify a suitable second tool, or leave B waiting. Do not assume the schedule will solve itself.

“Needed,” “set aside,” and “packed” answer different questions. A reservation note records intent. A packed check should follow an actual look in the bag. Use separate locations such as shelf, Kit A and Kit B so someone can find the item later.

Close the kit with a return and consumption check

After Kit A is used, suppose 10 of its 12 buttons were consumed and two were returned unused. If nothing else changed, eight buttons remain owned: six still in B plus two returned. The move into A did not consume twelve buttons; the actual use consumed ten. Record any loss or damage separately instead of disguising it as project use.

Hook H1 is returned intact in this example, so it remains one tool. Check that it actually came back before marking B ready for a later session. A “return expected” note is not a completed return. If ownership, condition or quantity cannot be established, retain an unresolved discrepancy.

The CSV supplies editable example rows and a blank row, not a stock synchronization engine. Keep a dated note of actual use, return and the person’s observation when several people share supplies. Recount the physical item when a plan and a bag disagree.

Use CraftCue’s project links with a physical packing check

CraftCue’s current listing describes inventory photos, quantity, color, location and notes, linked project materials, shortages/shopping, purchased stock and recording or undoing material use. It also describes optional third-party AI drafts after consent, reviewed before saving. A draft materials list still needs checking against your project and real stock.

An automatic reservation lock, simultaneous-kit conflict detector or physical packed/returned audit was not verified. Keep those controls in the companion sheet unless your installed version explicitly provides them. Do not press a material-use action merely because you moved stock into a bag.

The listing places unlimited inventory/projects/wishlist and higher Quick Add limits under Premium. Check the current offer and limits. Core records are local and no sign-in is required for core use, but optional AI processing has its own consent and data flow. If the next question is whether an apparent match is genuinely the same material, use the inventory record and identifying label before buying or substituting.

Use the CSV in Numbers, Excel or a spreadsheet editor. All project requirements and observations are fictional; the CSV does not synchronize or reserve app stock. Replace them with your own observations. The CSV is separate from the app and no email is required.

Questions answered

Does packing yarn or buttons reduce the stock I own?

Moving them into a kit changes location. Record consumption only when it actually occurs; returns, loss and damage are separate observations.

Can one tool appear in two kits?

It can appear in both plans, but it cannot be physically packed into both simultaneous kits. Record a handover or another verified solution.

Does CraftCue guarantee automatic kit reservations?

A reservation lock or physical packing audit was not verified. Use the external checklist alongside the app’s listed inventory/project features.
