Establish which amounts the two totals represent
Collect the relevant agreement, item intake IDs, actual sale records, statement period and payout reference. Asking price is not necessarily selling price. A percentage may apply to a defined base under the agreement; do not assume every shop uses the same commission or fee rules.
IRS US recordkeeping guidance recommends keeping transaction records and identifying their sources. It supports a traceable record, not a conclusion about your consignment contract or entitlement. This worksheet is an original reconciliation example, not legal or tax advice.
Keep a proposed adjustment, an agreed adjustment and a completed transfer distinct. A store statement can describe what it calculated; a paid label or planned payout date does not alone demonstrate that the consignor received money. Keep private bank details out of a shared discrepancy worksheet.
Worked discrepancy: expected 102, received 90
Fictional agreement pays the owner 60% of the actual sale price, with no fees or refunds in this example. Item C01 sold for USD 100 and C02 for USD 70 within the reviewed period. C03 is still unsold with an asking price of USD 50. A verified transfer P01 received by the owner is USD 90.
| Record | Basis | Owner share | State |
|---|---|---|---|
| C01 sale S01 | USD 100 × 60% | USD 60 | Sold in period |
| C02 sale S02 | USD 70 × 60% | USD 42 | Sold in period |
| C03 inventory | USD 50 asking price | Not a sold-item payout | Unsold; exclude |
| Expected total | 60 + 42 | USD 102 | Under fictional terms |
| P01 transfer | Verified receipt | USD 90 | Allocation needs explanation |
| Difference | 102 − 90 | USD 12 | Unresolved, not an invented fee |
The statement initially shows C02 as a USD 50 sale, producing USD 30 owner share. That would explain a USD 12 calculation difference: 60 + 30 = 90. But explaining the arithmetic does not establish which sale amount is correct. Check S02’s receipt and the agreement before changing the entry.
If S02 supports USD 70 and the responsible party agrees the statement was wrong, record the correction and a separate USD 12 remaining amount. Mark a later transfer received only after actual verification. If evidence instead shows USD 50 was the real final price, correct the erroneous record transparently; do not choose the larger number just because it matches an expectation.
Resolve one discrepancy category at a time
Check period cutoffs first: an item sold after the statement date may belong to the next settlement. Then check item identity, final price, rate and any documented agreed deduction or refund. A rate written as “shop share” must not be confused with the owner share.
For a combined payout, obtain or create a defensible allocation to the items it settles. Do not subtract the whole transfer from every item. Keep a pending or failed payment out of verified receipts. The example contains no fees; a real difference cannot be labeled a fee without supporting terms and evidence.
Use a factual message: “For C02/S02, my sale record is USD 70 and your statement shows USD 50; can we check the final sale evidence and applicable period?” Preserve the reply and any agreed correction. This download sends no message and contacts no consignor or shop.
ConsignCue keeps item and sale context together
ConsignCue’s current listing includes consignor rates and notes, item intake, SKU/status, sold-item payout calculation, cash drawer counts and daily reports. Premium unlocks unlimited consignors/items, advanced payout workflows, complete report history and export-ready summaries. Check current free limits and purchase terms.
We publish ConsignCue. A local paid status, payout calculation or cash-drawer figure is not a bank transfer or confirmation that a person received funds. The public listing does not establish automatic bank settlement or a dispute-resolution service.
Use stable item IDs and retain evidence alongside the separate CSV. The markdown guide handles price changes before sale; this article checks a difference between sale-based expectations and a payout statement or receipt.

Use the CSV in Numbers, Excel or a spreadsheet editor. Three fictional item rows and a blank row. Combined P01 receipt USD 90 is not allocated twice; agreement and transfer evidence remain separate. Replace them with your own observations. The CSV is separate from the app and no email is required.
Questions answered
Can I calculate payout from an unsold item’s asking price?
Not as a completed sold-item payout. Keep inventory and sale states separate.
Is the unexplained difference automatically a fee?
No. Check the agreement and evidence.
Does an app paid label prove receipt?
No. Verify the actual transfer separately.
