A draft typo and an issued tax document are different problems
For an unsent draft, correct the actual source details and recheck the preview before issuing it. For an issued invoice, retain the version the customer received and its number/date. A correction needs a traceable relationship to that original, rather than two unrelated invoices that both appear payable.
Ask whether payment has been received, whether the customer recorded the invoice, and whether tax was reported. These facts can change the proper process. A label such as Void in an app does not by itself reverse a payment, notify a customer or correct a tax return.
As a specific UK VAT example, GOV.UK requires retention of issued/received invoices and credit/debit notes, while Notice 700/45 describes correcting VAT errors and distinguishes customer-document corrections from tax-account/return adjustments. Do not apply that framework automatically to another country or a non-VAT transaction. Use current local guidance or an accountant for the actual method.
Worked trail: a duplicated service line
Fictional invoice INV-104 was issued with a duplicated USD 40 service line. The original total is USD 240; the checked service total should be USD 200 before any jurisdiction-specific tax treatment. This is arithmetic, not a prescribed credit-note procedure.
| Record | Known fact | Reference to preserve | Open decision |
|---|---|---|---|
| Original INV-104 | Issued total USD 240; duplicate USD 40 line | Original PDF, issue date and sent record | Was it paid or tax reported? |
| Review note COR-01 | Duplicate confirmed; checked service amount USD 200 | INV-104 and disputed line | Confirm lawful correction document/process |
| Correction document, when established | Type/number/date determined under applicable rules | Original invoice and correction reason | Confirm customer receives correct balance |
| Payment/tax follow-up | Separate actual receipt and reporting facts | Relevant payment/accounting references | Resolve refund, credit or reporting action if needed |
Do not issue another USD 200 demand and leave the USD 240 invoice apparently open without explaining their relationship. Equally, do not call USD 40 refunded until an actual refund is confirmed. A proposed adjustment, agreed balance and completed payment are separate states.
The worksheet leaves the correction-document type blank until the applicable process is known. It does not supply an invented legal number sequence. Keep a dated explanation of what changed and why, and preserve customer-facing communication through your normal business process.
Recheck more than the final total
Compare client identity, invoice number, dates, description, quantity, rate, discount, tax treatment, currency and payment status. A copied line can change more than one amount. If tax was included or already reported, avoid treating the pre-tax arithmetic above as the finished corrected balance.
Before sending any replacement or adjustment, verify which document supersedes or adjusts which original, what the customer should pay now, and whether another accounting action is still outstanding. Keep an internal note distinct from the document sent to the customer.
Do not put bank account details or private client information into a public correction example. Store the actual documents securely and share them only with the intended customer or adviser through an appropriate channel. This guide drafts a record structure; it sends nothing on your behalf.
Use Involea for reviewed drafts and previews within its scope
Involea’s current listing includes invoices/estimates, editable client and line-item details, tax/discounts, draft/sent/paid/overdue/void status, PDF preview and estimate-to-invoice conversion. Free users can preview; PDF export is Premium. Text, dictation and image OCR can create editable drafts.
The listing does not establish a credit-note workflow, immutable revision history, automatic tax-return correction or a payment/refund service. Preserve the issued original outside any edited app record and verify your required correction process. Document notes and status labels are not an independent audit-history guarantee.
Review Involea’s current processing privacy details before optional AI draft input. For the initial invoice fields, use the linked freelance checklist; this guide addresses the separate task of preserving a correction trail after an error.

Use the CSV in Numbers, Excel or a spreadsheet editor. Three fictional trail rows plus a blank row. No VAT rate, statutory correction method, credit-note feature or completed refund is asserted. Replace them with your own observations. The CSV is separate from the app and no email is required.
Questions answered
Can I simply overwrite an invoice already sent?
Preserve what was issued and check the proper correction process. An edited local record alone does not explain the original customer document.
Does marking an invoice Void refund it?
No payment or refund is established by a status label. Record and verify the actual money movement separately.
Does this guide tell me which credit note to issue?
No. Document and tax-correction requirements depend on jurisdiction, transaction and reporting state.
