Freelance invoice template: what to include and a worked example

A clear freelance invoice identifies you and the customer, uses a unique invoice number, describes the work, shows quantities or hours and rates, states the currency and total, and gives the agreed due date and payment instructions. Tax and business-registration requirements depend on your jurisdiction. The example below is a document-planning template, not a universal legally compliant invoice.

The fields that prevent avoidable questions

  • Your business name and contact details; add legally required identifiers for your jurisdiction.
  • The client’s correct billing name and address or agreed billing contact.
  • A unique invoice number and the issue date.
  • The service description and service date or period.
  • Quantity or hours, unit rate and line amount.
  • Currency, subtotal, applicable tax or discount and final total.
  • The agreed due date and payment instructions.

Ask the client whether a purchase order, project reference or specific billing address is required before sending. Do not assume that the person who commissioned the work is the person who processes payment. A correct total is less useful when the document cannot be matched to an approved project.

Example header: invoice EX-2026-001, issued October 5, 2026, for Example Studio to Example Client. If both parties agreed fourteen-day terms, the example due date is October 19, 2026. State USD explicitly rather than relying on the dollar symbol.

The $450 subtotal is not automatically a final tax-inclusive amount. Add taxes, discounts or other adjustments only when they apply under your actual agreement and local requirements. Check the final total after making those changes. The CSV supplied here is a line-item planning file, not a payment-enabled invoice.

Describe work so the client can recognize it

“Services: $450” hides the basis for the amount. “Five hours of layout work for the agreed brochure at $60/hour” lets the client compare the bill to the scope. A fixed-fee line should reference the deliverable, and an hourly line should match the agreed rate and work record.

Keep an estimate separate from an invoice. An estimate proposes a price; an invoice requests payment; a receipt acknowledges payment. The GOV.UK guidance linked below explains the invoice/receipt distinction and UK-specific required fields. Its legal rules do not automatically apply in every country.

Check, send and retain a final copy

  • Review the billing contact, project reference and currency.
  • Recalculate each quantity multiplied by its rate.
  • Confirm tax treatment and required identifiers for your jurisdiction.
  • Match the due date to the agreed terms, not an invented penalty policy.
  • Preview the finished document and retain the exact copy you send.
  • Record sent and paid states separately, based on what actually occurred.

If the work included reimbursable travel, use a dated mileage record and the agreed reimbursement terms. Do not add travel to a bill simply because it appears in a personal trip log. Consignment settlements are another separate workflow; the payout example distinguishes an owner’s share from shop revenue.

This CSV is a line-item worksheet, not a finished invoice. Its examples are fixed values, not formulas: line amount = quantity × rate. Recalculate changed rows and verify any applicable tax or discount.

Questions answered

Is an invoice the same as a receipt?

No. An invoice asks for payment; a receipt records payment received.

Do I have to add tax?

That depends on your jurisdiction, registration and transaction. Verify your actual obligations; do not copy tax treatment from this example.
