Record the agreement at intake
A consignment tracker needs ownership as well as stock quantity. Two similar lamps can belong to different people and have different payout terms. Assign an item ID, attach the consignor, and record the price, intake date, review or expiry date, status and agreed split. Keep the signed agreement or other accepted terms alongside your records.
Name the rate clearly. “60%” is ambiguous unless it says whether the owner receives 60% or the shop receives 60%. Record how markdowns, returns, payment fees and any taxes are handled in the agreement. This guide illustrates a simple split of the actual sale price; it does not set a legal agreement or a universal commission policy.

Owner share equals actual sale price multiplied by the owner’s agreed rate. Shop share equals sale price minus owner share. Outstanding payout equals owner share minus payments already recorded. Here, the shop has sold $200 of stock, earned an $80 share and still owes $70 to the owner. These are different amounts; gross customer receipts are not the shop’s retained share or profit. Your accounting treatment depends on the arrangement.
If a returned item reverses a sale, keep the reversal visible. Do not delete the history and leave a payout total that no longer matches the underlying transactions. Resolve any already-paid refund according to the agreed terms.
For a markdown example, if C-101 sells for $60 instead of $80 and the agreement still pays the owner 60% of the actual sale price, the owner share becomes $36 and the shop share $24. Keep the original asking price and actual sale price distinct. If fees or taxes change the agreed split basis, use that basis instead.

- Active: available for sale and still held by the shop.
- Sold: a sale has occurred; the payout may still be outstanding.
- Paid: the consignor’s corresponding share has been settled.
- Returned: the physical item went back to its owner.
- Expired: the agreement period needs attention; the item may still be on the shelf.
A status should describe the item’s real state. “Expired” does not prove that the item was collected. Keep the collection date separately. Use a note or linked payment record when one transfer covers several sold items so the next closeout can reconcile it.
Close the day without mixing cash and payouts
First reconcile sales against payment methods and the cash count. Then reconcile owner liabilities. Card sales contribute to gross sales but do not sit in the cash drawer, while an owner payout from that drawer reduces cash without being a new sale. Record each cash movement so an unexpected balance is explainable.
- Check which items became sold today and confirm the final selling price.
- Recalculate each agreed split, including agreed adjustments.
- Match payout transfers to the correct consignor and item group.
- Review sold-but-unpaid items separately from active inventory.
- Retain a dated closeout summary and investigate differences rather than forcing the numbers to match.

When a phone tracker is useful
A spreadsheet is a good starting point for a small, stable intake list. As items move between active, sold, returned and paid, an app can make the next action easier to find. Questions answered
Is the consignor payout the same as profit?
No. A payout is the owner’s agreed share. The shop share still has to cover the shop’s own expenses.
Can I mark an item paid when it sells?
Only when the owner’s share has actually been settled. Otherwise sold and paid need separate records.
What if commission rates change?
Keep the terms used for the original sale with that record. Avoid rewriting historical sales using a newly agreed rate.
