Define which statement and which records you are matching
Choose a reporting month and list the accounts and statements in scope. Distinguish purchase date from posted date. A transaction near month end can appear in the following statement period without being lost. Keep timing differences visible rather than changing the original receipt date to force a match.
IRS guidance for US businesses explains that supporting records may need to work together to establish payee, amount, payment, date and what was purchased. Publication 583 also illustrates bank reconciliation. This guide is narrower: an original receipt-to-transaction matching worksheet, not a full bank-balance reconciliation or a tax-deductibility decision.
Start with copies of the records and stable IDs. Keep original documents and record corrections transparently. Do not upload bank statements or receipt images into a public worksheet or article feedback. A statement merchant description may differ from the shop name; verify references and details instead of matching on a similar word alone.
Worked month-end review: one match, one duplicate and three exceptions
Fictional October review in USD: R01 is a USD 42 supplies receipt matching posted transaction T01. R02 is a USD 20 software receipt matching T02, but it was entered twice as E02 and E03. R03 is a USD 30 purchase on October 31 whose posting is not yet found. T04 is an unexplained USD 15 posted debit without a receipt. R05 is a USD 10 cash receipt, so no bank match is expected.
| Evidence | Expense entry | Statement | Classification | Next action |
|---|---|---|---|---|
| R01 USD 42 | E01 USD 42 | T01 USD 42 | Matched | Retain linked proof |
| R02 USD 20 | E02 and E03, each USD 20 | T02 USD 20 once | Duplicate entry candidate | Verify and correct E03 with audit note |
| R03 USD 30, Oct 31 | E04 USD 30 | Not found | Timing/unmatched; not confirmed posted | Check next statement/reference |
| No receipt | No verified entry | T04 USD 15 | Unexplained debit / missing proof | Identify merchant and purpose |
| R05 USD 10 cash | E05 USD 10 | No bank transaction expected | Cash evidence track | Retain cash/payment evidence |
Known receipt amounts total USD 102: 42 + 20 + 30 + 10. The listed posted statement debits total USD 77: 42 + 20 + 15. These totals need not be equal because the sets contain a cash item, an unmatched timing item and an unexplained debit. Do not invent a USD 25 adjustment just to make them match.
After verifying and correcting the duplicate, the remaining expense entries represented by those receipts total USD 102. That arithmetic does not resolve T04, establish that R03 posted or make any expense deductible. Keep those outcomes separate from the entry correction.
Follow both missing-document and extra-entry paths
Read from each expense to its receipt and payment reference, then from each statement transaction back to a supported entry. This catches both a missing receipt and a transaction omitted from the log. Check duplicates by document/reference identity, not merely equal amounts: two separate USD 20 purchases can both be real.
For credit-card spending, match the purchase to the card statement. The later transfer from your bank to pay the card is normally a settlement of those card transactions in this matching exercise, not another copy of each purchase. Record account transfers separately and use your accountant’s appropriate treatment.
For refunds, split payments, foreign currencies or payment-service fees, retain linked records and a clear explanation. A net deposit or debit may not equal an invoice’s gross amount. Leave unresolved items on a follow-up list with the missing evidence and next action; do not mark the month complete simply because the dashboard has a total.
ReceiptCue stores expense evidence without bank sync
ReceiptCue’s current listing describes manual expense records with merchant, amount, category, date, notes and receipt photo; missing-proof warnings; mileage; category summaries; and CSV/PDF reports. It explicitly does not require a bank connection.
We publish ReceiptCue. Pro unlocks unlimited expenses and receipt photos, mileage, CSV/PDF exports and category reporting. Check current free allowances and purchase terms in the installed app. The listing does not establish automatic statement import, bank matching or OCR.
Use the app to organize expense evidence and perform this matching review separately. The CSV here has example exception rows and a blank row, not formulas or a direct app import. The linked receipt-quality guide checks incomplete information before this month-end comparison.
If the method fits your task, explore ReceiptCue’s listed features on an iPhone. Check current features and plans before downloading.

Use the CSV in Numbers, Excel or a spreadsheet editor. Five fictional exception rows and a blank row. No formulas, bank import, full balance reconciliation or tax determination. Replace them with your own observations. The CSV is separate from the app and no email is required.
Questions answered
Must every receipt appear on a bank statement?
No. Cash and account-scope differences require a separate evidence path.
Are equal amounts enough to identify duplicates?
No. Compare the actual document and transaction identities.
Does matching a transaction prove deductibility?
No. Business purpose and applicable requirements remain separate.
