Reconcile a monthly rent statement with payment evidence

By Smart Automation SRL7 min read

Start with a verified opening balance, list each rent charge and apply only payments supported by a dated receipt and a checked period allocation. Carry the closing balance into the next month without charging the same shortfall again. Keep cash received, rent credited and unallocated money separate; a statement total is not proof that every payment was correctly assigned.

We publish LeaseCue. This guide provides a usable method without the app. Product features and limits were checked against the current US App Store listing on October 25, 2026. Examples are illustrative.

Define whose balance the statement shows

This guide reviews a tenant rent balance over two periods, not an agent’s statement of money payable to a landlord. Choose one tenancy, one currency and a clear cutoff date. In the worked example, a positive balance means rent still outstanding. Write that sign convention above the worksheet so a credit cannot silently become another charge.

Keep the previous statement, agreed rent schedule, dated receipt references and any documented allocation together. A bank transfer date can differ from the rent period it covers. If the opening balance is disputed or unsupported, label it unresolved and reconcile the earlier period before calling the new statement final.

UK government guidance lists rent books, receipts, invoices and bank statements among rental records; IRS guidance also emphasizes identifying receipts and supporting reported income and expenses. Those are jurisdiction-specific recordkeeping sources. The arithmetic below is an original records exercise, not a rule for payment allocation, tenancy enforcement, deposits or tax reporting.

Worked rollover: one opening shortfall, two months and three receipts

Fictional USD tenancy: the checked balance entering September is $200 outstanding. September rent is $1,000. Receipt R01 is $900 on September 5, documented against September’s running rent balance. Closing September: $200 + $1,000 − $900 = $300 outstanding. The $300 already includes the earlier $200; do not add both again in October.

Period balance and receipts applied once
PeriodOpening outstandingNew rent chargeVerified rent creditsClosing outstanding
September$200$1,000R01: $900$300
October$300$1,000R02: $1,000; R03: $300$0

October receipt R02 is $1,000 on October 3. Receipt R03 is $350 on October 20, but the reviewed allocation applies only $300 to this rent balance. October closes at $300 + $1,000 − $1,000 − $300 = $0. The remaining $50 from R03 stays separately marked unallocated pending clarification; this example does not decide whether it is advance rent, a refund or another payment.

Across both months, cash received is $900 + $1,000 + $350 = $2,250. Verified rent credits are $2,200, matching the $200 opening balance plus $2,000 new charges. The difference is the separately tracked $50. A zero rent balance therefore does not mean there is no remaining money question.

Resolve differences without creating duplicate rent or receipts

Check each receipt reference against the evidence once. If R03 appears on a bank list and a manually entered receipt list, that is not automatically two payments. Retain its amount, date, reference, assigned amount and unresolved remainder. Do not paste a full bank statement into a public or shared worksheet.

Compare October’s opening $300 with September’s closing $300. A mismatch here is a rollover defect even if October’s arithmetic adds up. If a receipt is reversed, missing or assigned differently, retain an explicit correction trail and recompute every affected closing balance. Do not erase the earlier statement and pretend it never changed.

Keep security deposits, charges, fees and adjustments distinguishable. This example contains rent only and invents no late fee, interest or right to recover money. If parties disagree on an allocation or legal obligation, obtain the applicable agreement and appropriate advice. A spreadsheet can expose the disagreement without deciding it.

Use LeaseCue for local ledger records, with supporting evidence alongside

LeaseCue’s current listing describes paid, unpaid, overdue and partial rent records, tenant notes, maintenance requests, renewal dates and a dashboard. PDF reports and optional renewal reminders are premium features. Current project documentation describes one free property and two free tenants; check the installed offer and current terms.

We publish LeaseCue. It keeps core landlord records locally without an account. The listing is not a promise of bank synchronization, a tenant portal, an immutable receipt ledger or automatic allocation of an overpayment. Its dashboard cannot replace the receipt-by-receipt check in this guide.

Use this independent CSV as a reconciliation working paper. It is not a LeaseCue import, a legal notice or a tax return. Keep the original receipt evidence privately, record references in the worksheet and check the exported report against the same cutoff before sharing.

Use the CSV in Numbers, Excel or a spreadsheet editor. Two fictional rent periods and a blank row. Positive balance means outstanding; $50 remains unallocated. No tax, fee, deposit or legal allocation decision. Replace them with your own observations. The CSV is separate from the app and no email is required.

Questions answered

Should I add the old $200 and the September closing $300 in October?

No. The $300 already includes that earlier shortfall in this example.

Does a zero rent balance resolve the extra $50?

No. The unallocated amount needs separate evidence and clarification.

Does the example prescribe how payments must legally be allocated?

No. It assumes reviewed allocations only for the fictional arithmetic.
