Capture the issue without guessing cause or responsibility
This method is for a small landlord organizing reports, not a substitute for the tenant’s reporting channel or local housing obligations. Start with property/unit, issue ID, report time, location, observed problem and a reference to the original message. Keep the reporter’s description separate from a contractor’s later findings.
“Water visible below kitchen sink” is an observation. “Tenant caused leak” is a conclusion that requires evidence. Preserve relevant original messages or permitted photographs securely; do not copy private tenant details into a public document or send them to an unrelated service.
Before using a routine queue, consider immediate safety and the proper local emergency process. A suspected gas leak, fire, exposed electrical hazard or serious flooding is not a reason to wait for a spreadsheet follow-up date. Contact the appropriate emergency or qualified service. The log records actions after needed safety steps; it never supplies a universal urgency score.
Worked issue M24: an appointment is not completion
These fictional dates show the difference between receiving a report and verifying a repair. They do not prescribe a lawful response interval or suggest waiting where prompt action is required.
| Event time | Evidence / action | State after event | Next question |
|---|---|---|---|
| Oct 13, 08:15 | Tenant reports dripping below sink | Reported | Clarify location and current safety situation |
| Oct 13, 08:30 | Landlord acknowledges through agreed channel | Acknowledged | Confirm appropriate qualified response |
| Oct 13, 09:00 | Contractor appointment agreed; access details recorded privately | Scheduled | Confirm visit occurred |
| Oct 13, 14:20 | Contractor reports work completed | Completion reported | What was repaired and how was operation checked? |
| Oct 13, 15:10 | Operation checked; completion basis recorded | Closed for recorded issue | Reopen if problem recurs |
If the contractor cancels, append a cancellation and a new next action; do not leave the row suggesting the visit happened. If a tenant cannot confirm operation, use “completion reported; verification pending” instead of assuming silence means fixed. Record who supplied each statement and when.
Keep a short state label for scanning and the event trail for evidence. The original report does not disappear when the status changes. A recurring problem can reference M24 and reopen it or create a linked new issue, depending on your agreed record process. Do not merge unrelated faults merely because they occur in the same room.
Make the next action owned and specific
A useful open record says who will do what next and when it will be checked. “Waiting” alone is incomplete: waiting for contractor availability, a part, an access arrangement or a response are different blockers. Set an internal follow-up time without presenting it as a legal deadline.
For England, GOV.UK’s repairs guidance says tenants should report repair needs to the landlord, promptly for faults that could harm health; the landlord should explain when repairs can be expected. Its procedures are jurisdiction-specific. Scotland and Northern Ireland have different routes, and US readers must check state and local requirements. This article does not authorize withholding rent, entry without required notice, or delaying statutory duties.
Keep maintenance costs and rent payments in separate records. A repair event does not silently change the rent ledger. If a lawful documented adjustment is agreed, retain its basis and record it explicitly in the appropriate ledger with local advice where needed.
Use LeaseCue’s basic status alongside the fuller trail
LeaseCue’s current US listing includes tenant notes, maintenance requests and open, scheduled, done and archived status, alongside rent records. PDF landlord reports are Premium. The worksheet here adds a detailed event trail and next-action fields; it is not a claim that the app contains every column or sends tenant messages.
Before saving an issue in your installed app, verify the actual property and tenant association, especially with several rentals. Status wording may vary by version. Do not assume automatic routing, an assignee, attachments or a legal deadline feature.
The listing describes local storage with no account. You still need to protect any files you export or share. Keep access arrangements and private contact details out of a widely circulated maintenance summary. LeaseCue helps organize records; it does not replace a qualified repair professional or housing adviser.

Use the CSV in Numbers, Excel or a spreadsheet editor. Five fictional event rows plus a blank row. No legal response deadline, emergency triage rule or automatic app import. Replace them with your own observations. The CSV is separate from the app and no email is required.
Questions answered
When should a maintenance request be closed?
Record the completion basis for that issue. A scheduled visit or sent message alone does not show the repair occurred.
Does this worksheet set a legal repair deadline?
No. Follow current local law, the agreement and appropriate safety guidance. Internal follow-up dates are organizational reminders.
Can LeaseCue send the request to a tenant or contractor?
The current listing does not establish a messaging portal. Use your agreed communication channel and preserve its reference.
