Hand over an unresolved task without losing its owner

By Smart Automation SRL7 min read

Carry the same unresolved task ID forward with its latest observation, next action, confirmed owner and dated next checkpoint. Ask the incoming person to read back what they will check, and retain any disagreement. Acknowledging a handover records receipt; it does not complete the task or prove the situation is safe.

We publish NoteRelay. This guide provides a usable method without the app. Product features and limits were checked against the current US App Store listing on October 25, 2026. Examples are illustrative.

Prepare an actionable record before the shift changes

Choose one ordinary workplace task and separate what you observed from what someone inferred. “Supplies need attention” is hard to act on. “Delivery D17 is missing two boxes of napkins against the packing list at 14:20” gives the incoming shift a reference to check. Use the workplace’s approved system and access rules.

UK HSE describes preparation, exchange between outgoing and incoming staff, and incoming cross-checking as parts of effective handover. It recommends two-way communication supported by written records. This guide adapts that communication principle to a fictional stock follow-up; it is not a procedure for clinical care, emergency response or safety-critical plant.

Write the owner as a named person or an unambiguous duty assignment, with their acceptance checked through the workplace’s normal process. A department name may be insufficient when several people could each assume someone else is responsible. Use a date, time and site time zone for the next update rather than “later.”

Worked transfer: acknowledged at 15:00, still open

Fictional hospitality store room: outgoing worker Alex records task H17 at 14:20. Two napkin boxes are missing from delivery D17; the packing list is checked, the supplier has not replied. Incoming worker Sam reviews the record at the 15:00 handover. No customer or employee personal details are needed for this example.

One task remains identifiable through the handover
StageObservation and actionOwner / checkpointState and evidence
Outgoing 14:20D17 short by two boxes; ask supplier to confirm dispatchAlex until transferOpen; packing-list reference
Incoming 15:00Sam repeats: verify reply, then update H17Sam accepts follow-up; Oct 25 16:00 site timeAcknowledged; task still open
Checkpoint 16:00No reply received; update supervisor under local processSam; next agreed check 17:00Open; no delivery invented
Later completionOnly after verified receipt or an approved resolutionRecord actual resolver and timeDone only with resolution evidence

Sam’s readback is: “H17 is still short by two boxes. I will check the supplier reply by 16:00 and update this task; acknowledgement does not mean the boxes arrived.” Alex can correct a misunderstood quantity before leaving. If Sam has not accepted the assignment, write “owner unconfirmed” and resolve that gap through the approved process.

At 16:00, absence of a reply does not become completion. Keep H17 open and append the current observation, then follow the agreed reporting route. Carrying the same ID prevents three shifts from creating three unrelated tasks for one shortage. The final row is a completion criterion, not a claim that completion occurred.

Keep new evidence, ownership and status distinct

When the next shift changes, review whether the owner or checkpoint changed. Preserve the previous update as context, but put the latest actionable state where the incoming shift can find it. Do not silently replace “no reply” with “supplier confirmed” because an AI draft sounds more complete.

If a handover is acknowledged while a question remains, record that question explicitly. A tick, PDF export or read receipt cannot prove understanding, acceptance of responsibility, physical stock or completion. Use the workplace’s confirmation and escalation procedures; this worksheet does not create an automated emergency route.

Avoid unnecessary personal data and sensitive photographs. Do not put clinical or protected health information into this general handover example. A shared device also requires an appropriate local access policy; “stored locally” does not make every person holding it authorized to see every note.

NoteRelay keeps unresolved work visible for review

NoteRelay’s current listing describes voice, text and photo updates, reviewing a structure, acknowledgement, searching notes/tasks/owners and generating shared daily PDFs. Open work stays visible until marked done. Weekly and yearly plans list 40 and 80 structures per week respectively, with unlimited PDFs; check the current free allowance and purchase terms.

We publish NoteRelay. The current project describes a shared-workplace-device, local-first workflow without employee accounts or a cloud team backend. Sharing a PDF is a deliberate action; no automatic remote delivery, synchronized team inbox or task-acceptance guarantee is promised. Review any generated structure before saving or sharing it.

Use the CSV as a standalone transfer audit, not an import or a safety sign-off. Acknowledgement inside the app should be interpreted alongside the actual conversation and verified task evidence. The distinct outcome here is an unresolved item with a known next owner and checkpoint, not an artificially cleared task list.

Use the CSV in Numbers, Excel or a spreadsheet editor. One fictional non-clinical stock task across three updates and a blank row. Acknowledged does not mean accepted, completed or safe. Replace them with your own observations. The CSV is separate from the app and no email is required.

Questions answered

Does acknowledgement mean the task is done?

No. Keep task status and resolution evidence separate.

What if the incoming owner is not confirmed?

Retain that gap and resolve it through the workplace’s approved process.

Should every shift create a new task for the same shortage?

Retain the existing task identity and update its current state where your system supports it.
