Add a moving layer to the inventory you already have
Start with existing item names, identifying photos, serials where relevant and proof references. Add a short stable item ID such as I01. Keep the original purchase or ownership record; packing a lamp does not change its purchase date or value. Use a separate move sheet for changing box assignments.
NAIC’s US moving guidance recommends updating a home inventory and checking transit coverage with your insurer. It does not make a personal box list a mover’s contract or proof that a particular loss is covered. This guide handles item location and arrival checks, not a coverage decision.
Create distinct box IDs such as B01 and B02. Put the same ID on the physical box and the sheet, with a destination room. Avoid relying only on “kitchen”: several boxes can share a room. Keep detailed serials, prices and private proof files off an exposed box label.
Worked handoff: two boxes, one loose item, one missing accessory
Fictional move: I01 kettle and I02 coffee grinder go in B01 for the kitchen. I03 desk lamp and I04 its detachable power adapter go in B02 for the office. I05 chair travels loose with label L01. The adapter is recorded separately so the lamp’s arrival cannot hide its absence.
| Item | Packed location | Destination | Arrival observation | Next action |
|---|---|---|---|---|
| I01 kettle | B01 | Kitchen | Box and item checked | Complete |
| I02 grinder | B01 | Kitchen | Box delivered; contents unchecked | Open and match item |
| I03 lamp | B02 | Office | Item checked | Check I04 separately |
| I04 adapter | B02 expected | Office | Not found during unpacking | Search packing area; document discrepancy |
| I05 chair | L01 loose | Office | Label and item checked | Complete |
Two boxes delivered is a container count. In this example, three of five item IDs have been checked, one is unchecked and one is not found. Do not describe all five as missing or all five as received. Record the observation time and person checking if several people unpack.
If you move I02 into B03 before departure, record that reassignment and update the physical label or contents list. Do not leave two active locations. Retain a dated change note if the old list has already been shared. A planned location and a confirmed packed location should not look identical.
Reconcile from both directions
First read the item list and locate each expected item. Then inspect the actual boxes and loose objects for anything not on the sheet. An unexpected item needs an identity check; it is not automatically a duplicate or someone else’s property. For an unopened box, retain “contents unchecked” rather than guessing.
For a discrepancy, preserve relevant photos and original records. Note whether the item was observed before packing, assigned but not confirmed packed, or seen at arrival. These distinctions help you ask a precise question without inventing a chain of custody. Contact the responsible mover or insurer using the applicable contract and process; this sheet supplies no universal claim deadline.
Store a copy somewhere you can access during the move, with appropriate privacy protections. Keep essential documents and sensitive records under suitable personal control. The inventory parent explains ownership proof; the next linked guide checks whether a receipt and photo describe the same object.
CoverNest organizes item evidence; the box sheet is separate
CoverNest’s current listing describes room-based items, serial numbers, photos, warranty notes, editable receipt extraction and insurance-report PDF export. It mentions preparation for a move. Review extracted fields against the actual evidence.
We publish CoverNest. The current listing does not establish a dedicated box-tracking, mover check-in or automatic delivery-confirmation feature. Use this independent CSV alongside your inventory; it does not import into or synchronize with the app.
The public description does not enumerate every current free-versus-paid allowance. Check the installed app and current purchase terms before relying on export access. An exported report is an organization aid, not an insurance valuation or accepted claim.
If the method fits your task, explore CoverNest’s listed features on an iPhone. Check current features and plans before downloading.

Use the CSV in Numbers, Excel or a spreadsheet editor. Five fictional item IDs and a blank row. Container arrival and verified contents are separate observations. Replace them with your own observations. The CSV is separate from the app and no email is required.

No. Record box arrival and item verification separately.
Should I replace the inventory room with a box number?
Keep stable item identity and use separate container and destination fields.
Does this sheet prove transit insurance coverage?
