Keep the exact resume version used for each application

By Smart Automation SRL7 min read

Give each application a stable reference, preserve the version you reviewed and record the exact file actually attached. Drafted, exported, selected for upload and submitted are different states. Editing a resume later does not change what an employer already received.

We publish Resume Builder: JobCue. This guide provides a usable method without the app. Product features and limits were checked against the current US App Store listing on October 30, 2026. Examples are illustrative.

Track an application and its artifact separately

A file named resume-final.pdf can be correct for one role and wrong for the next. Create a private application reference, a role/posting reference and a resume version label before exporting. Use a clear filename accepted by the application portal; a filename convention is your organizational choice, not an ATS ranking technique.

Keep a copy or permitted reference to the job description you actually used, with its date. Postings can change or disappear. Do not put sensitive personal details, private recruiter messages or unnecessary contact information into a public tracker. The worksheet needs only enough information for you to recover the right artifact.

CareerOneStop recommends relating work history and accomplishments to the target role. That supports tailored emphasis, not fabricated experience. For checking the underlying claims, use the job-description evidence matrix. This guide handles a different problem: which version reached which application.

One submitted version and one later revision

Here is an original fictional record for application APP-01. Version v03 was reviewed and exported. Version v04 was drafted later to clarify wording. The later draft must not overwrite the record of what was sent.

Original application artifact chain
StateArtifactEvidence recordedWhat it does not prove
Reviewed draftAPP-01 v03Facts checked against personal recordsNot exported or submitted yet
ExportedAPP-01-v03.pdfOpened PDF; date and file location notedNot proof that portal received it
SubmittedAPP-01-v03.pdfPortal confirmation plus visible attachment reference, where availableNot proof of recruiter reading
Later draftAPP-01 v04Changed wording; no new submission evidenceDoes not replace the v03 sent record

If the portal confirms submission but does not show the filename, record that limitation: “submission confirmed; attachment identity not independently shown.” Do not invent a filename readback from a generic success message. Before pressing the portal’s final action yourself, inspect its attachment selection and preview where available.

The CSV separates resume version, export evidence and submission evidence. It contains illustrative text, not a connection to an employer or a submission button. A row marked draft should stay draft until the corresponding action is evidenced.

Reopen the actual PDF before you rely on its name

Open the file from the location you intend to use, not a similarly named preview left open in another app. Check name/contact accuracy, role-specific wording, dates, links and page layout. Confirm that no other employer’s name or placeholder remains. A correct filename cannot establish correct contents.

If a portal requires a different format or filename, preserve a mapping between your internal version and the actual accepted artifact. Do not assume converting a file preserves its layout. If you discover an error after submission, follow that employer’s correction process and record the new artifact and evidence separately; do not silently rewrite the old sent entry.

Before an interview, return to the submitted version. A new draft might contain a different emphasis that the interviewer never saw. Keep both the document and the evidence of your contribution accurate. This is a provenance workflow, not proof that any particular phrasing improves hiring outcomes.

Use JobCue drafts without inventing a submission-history system

JobCue’s current listing describes editable resume sections, job-description comparison, cover-letter drafting, templates and drafts for different applications. Three sections are editable free; polished export and unlimited sections are Pro. Check the current offer before expecting export.

A complete application tracker, immutable version repository, portal attachment audit or employer-delivery/read confirmation was not verified. Keep that evidence in your private companion tracker. AI suggestions are drafting support: review every factual statement and remove unsupported claims before using them.

JobCue does not guarantee interviews, offers, replies or ATS acceptance. Neither does this filename/record method. Its useful result is narrower: being able to identify what you intended to send, what you actually exported and what the submission evidence really establishes. For a final factual check, return to the evidence matrix rather than polishing another unsupported claim.

Use the CSV in Numbers, Excel or a spreadsheet editor. Application IDs and evidence descriptions are fictional; keep actual records private. Replace them with your own observations. The CSV is separate from the app and no email is required.

Questions answered

Does a newer resume replace the one already submitted?

No. Keep the sent version and record a later revision separately unless there is evidence of a new accepted submission.

Is a portal confirmation proof of the exact attachment?

Only if the available evidence establishes that identity. A generic confirmation can prove submission while leaving the attachment filename unverified.

Does JobCue track recruiter reading?

That capability was not verified. Do not turn an export or submission record into a reading, interview or offer claim.
